Copy Preparation Guidelines
When providing copy to Marketing and Media for a project, please follow these guidelines:
- Provide text in both a hard copy printout and electronically. The digital file must match the hard copy.
- Provide the electronic version on CD/DVD or as an e-mail attachment.
- Do not provide copy written in the body of an e-mail message.
- Save documents in the latest Microsoft Word version or in "RTF" file format.
- Make sure to keep a copy of the file that you provided.
- Provide copy as straight text in a single column. Do not attempt to format the copy into multiple columns, and do not add any graphics or clip art.
- Use Times New Roman or Times Roman font in 12-point size. Do not change type style or point size in your manuscript.
- Do not use all capital letters, underlining, boldface, or italics to denote special treatment. Instead, note this on your hard copy.
- Do not use tabs or spaces for paragraph indents. Copy should be flush-left. You may put one extra hard return between paragraphs to set paragraphs apart.
- Use only one space between sentences.
- For charts and material in columns, use a single tab set to each column required. In tabular material, use one tab between columns and one return at the end. Do not enter multiple tabs or spaces to advance to a desired column position.
- Discuss with your Marketing and Media creative team before providing content in any format other than Microsoft Word, such as Excel.
